We are looking for a dedicated and detail-oriented Admin Assistant to join our team. As an integral part of our non-profit organization, the Admin Assistant will play a crucial role in supporting daily operations and ensuring the smooth functioning of our office. The ideal candidate will be organized, possess excellent communication skills, and have a passion for contributing to the mission of providing affordable housing solutions. This position will also be responsible for assisting with Tenant Relations you will play a crucial role in fostering positive relationships between Elk Valley Family Society and its residents. 

Administrative Support: 

  • Provide general administrative support, including handling phone calls, emails, and inquiries. 
  • Maintain and organize files, records, and documents for easy retrieval. 
  • Assist in the preparation and distribution of internal and external communications. 
  • Data Entry and Record Keeping: 
  • Input and update information in the organization’s databases and systems. 
  • Maintain accurate and up-to-date records related to housing applications, tenant information, and other relevant data. 
  • Maintain accurate records of tenant interactions and concerns. 
  • Provide data and insights to support strategic decision-making. 
  • Collaborate on special projects and initiatives as required. Ability to maintain confidentiality and handle sensitive information with discretion. Ability to maintain confidentiality and handle sensitive information with discretion. Customer Service: 
    • Interact with clients, tenants, and stakeholders in a professional and courteous manner.  
    • Maintain open lines of communication with tenants. 
    • Respond promptly to tenant inquiries, concerns, and requests. 
    • Address inquiries, resolve issues, and ensure a positive experience for all parties involved. 
    • Office Supplies and Inventory Management: 
    • Monitor and replenish office supplies as needed. 
    • Keep track of inventory and equipment, reporting any shortages or issues. 
    • Assist with mediation and resolve disputes between tenants. 
    • Implement proactive measures to prevent conflicts and ensure a harmonious living environment. 

    Collaboration with Team: 

    • Work closely with team members to facilitate efficient communication and workflow. 
    • Enforce policies in a fair and consistent manner.
    • Policy Adherence: 
      • Ensure tenants are aware of and adhere to the policies and regulations of the housing society. 
      • Educate tenants on their rights and responsibilities. 
      • Be able to commit time to on call as per on call schedule. Emergency Response: 
        • Collaborate with emergency response teams to review evacuation plans. 
        • Communicate effectively with tenants during emergencies and provide necessary support. 
      • Qualifications: High school diploma or equivalent; additional education or certification in office administration is a plus. 

        Proven experience as an office assistant, administrative assistant, or in a related role. 

        Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other relevant software. 

        • Excellent communication, interpersonal, and conflict resolution skills. 
        • Understanding of housing regulations and tenant rights. 
        • Ability to work collaboratively with diverse groups and individuals. 
        • Strong organizational and problem-solving skills. 
        • Empathy and a passion for creating inclusive and supportive communities.
