We are looking for a dedicated and detail-oriented Admin Assistant to join our team. As an integral part of our non-profit organization, the Admin Assistant will play a crucial role in supporting daily operations and ensuring the smooth functioning of our office. The ideal candidate will be organized, possess excellent communication skills, and have a passion for contributing to the mission of providing affordable housing solutions. This position will also be responsible for assisting with Tenant Relations you will play a crucial role in fostering positive relationships between Elk Valley Family Society and its residents.
Administrative Support:
- Provide general administrative support, including handling phone calls, emails, and inquiries.
- Maintain and organize files, records, and documents for easy retrieval.
- Assist in the preparation and distribution of internal and external communications.
- Data Entry and Record Keeping:
- Input and update information in the organization’s databases and systems.
- Maintain accurate and up-to-date records related to housing applications, tenant information, and other relevant data.
- Maintain accurate records of tenant interactions and concerns.
- Provide data and insights to support strategic decision-making.

- Interact with clients, tenants, and stakeholders in a professional and courteous manner.
- Maintain open lines of communication with tenants.
- Respond promptly to tenant inquiries, concerns, and requests.
- Address inquiries, resolve issues, and ensure a positive experience for all parties involved.
- Office Supplies and Inventory Management:
- Monitor and replenish office supplies as needed.
- Keep track of inventory and equipment, reporting any shortages or issues.
- Assist with mediation and resolve disputes between tenants.
- Implement proactive measures to prevent conflicts and ensure a harmonious living environment.
Collaboration with Team:
- Work closely with team members to facilitate efficient communication and workflow.
- Enforce policies in a fair and consistent manner.
- Policy Adherence:
- Ensure tenants are aware of and adhere to the policies and regulations of the housing society.
- Educate tenants on their rights and responsibilities.

- Qualifications: High school diploma or equivalent; additional education or certification in office administration is a plus.
Proven experience as an office assistant, administrative assistant, or in a related role.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other relevant software.
- Excellent communication, interpersonal, and conflict resolution skills.
- Understanding of housing regulations and tenant rights.
- Ability to work collaboratively with diverse groups and individuals.
- Strong organizational and problem-solving skills.
