As part of our expansion, we are seeking an Administrative Assistant to join our team and contribute to our mission.
Position Overview:
The Administrative Assistant plays a key role in supporting the daily operations of the Elkford Chamber of Commerce, ensuring smooth office administration, efficient point-of-sale transactions, and effective management of the coworking space. This position requires strong organizational skills, confidence in technology, and a professional, customer-focused approach to assisting members and visitors.
Key Responsibilities:
Administrative:
- Manage incoming calls, emails, and inquiries.
- Maintain office supplies and organize filing systems (physical and digital).
- Assist with research, document creation, and membership outreach.
- Manage membership payments and update the CRM system (GlueUp).
- Provide event planning support and assist with setup/take-down.
- Scan and file financial documents.
- Perform light cleaning duties as needed.
Coworking & Retail Space:
- Operate and manage the point-of-sale (POS) system.
- Monitor coworking space payments and assist customers.
- Manage coworking space bookings and reservations.
- Handle vendor/tenant contracts and monitor renewals.
- Send monthly vendor payout statements and assist with boardroom setups.
- Perform light cleaning duties as needed
Collaboration and Communication:
- Collaborate with team members to support various Chamber initiatives and events.
- Communicate effectively with members, visitors, and stakeholders in-person, via phone, and through email correspondence.
Qualifications and Skills:
- Proven experience in an administrative or office support role
- Proficiency in using office software, specifically Google Suite
- Confidence with the use of technology
- Familiarity with operating a point-of-sale (POS) system is desirable
- Strong organizational and multitasking abilities with excellent attention to detail
- Effective communication skills, both written and verbal
- Ability to work independently and collaboratively in a team environment
- Friendly demeanor and customer service oriented
- Readiness and interest to learn new systems
- Strong attention to detail and the ability to prioritize tasks effectively
Education and Experience:
- High school diploma or equivalent; additional qualifications in Office Administration or related field is a plus.
- Previous experience in a similar role is preferred but not mandatory.
